From WhatsApp group to a professional booking system

10 February 2025·6 min read

Most padel schools start with a WhatsApp group. That works perfectly well for ten players. But with fifty players, three instructors and two locations it falls apart. In this article we describe how to make the switch — without losing your players and without being offline for a week.

Why WhatsApp stops working above a certain scale

WhatsApp has no booking system, no payment integration and no level grouping. Every booking has to be confirmed by hand. Every payment needs a payment request or bank transfer and a manual check. Above 30 active players, an owner spends an average of 8 hours a week on coordination that could be fully automated.

What you need for a professional system

A good booking system for a padel school has four building blocks: (1) a schedule planner for creating quarterly rosters, (2) a booking page where players reserve for themselves, (3) a payment integration so money comes in automatically, and (4) a player database so you can manage levels and communication per group. PadelPlanning combines all four in one platform.

The migration, step by step

Week 1: onboarding with PadelPlanning. You import your player list (CSV or by hand), create your first roster and configure your payment account. Week 2: send your players an introduction email with the link to your new booking page. Explain that they re-enrol themselves for the new quarter. Week 3: close the WhatsApp group. Done.

What to expect after the switch

Most owners report that 80 to 90% of their players switched within the first week. The 10% who didn't do so straight away did after a personal message. They also report this: the first week feels unfamiliar, but after two weeks nobody wants to go back. Least of all the instructors.
